The Oceania Customs Organisation is an inter-governmental organisation in the Pacific Region dedicated to helping its 24 member administrations align with international customs standards and best practices. Executive Assistant

The OCO is seeking an enthusiastic and outcomes-driven Executive Assistant to provide exceptional administrative and communication support to our Executive and Management team. This pivotal role ensures that corporate service deliverables are met with precision, efficiency, and professionalism, while upholding the highest standards of confidentiality and organisational excellence.

Key Responsibilities

  • Deliver high-level administrative support to the Head of Secretariat and the Management Team.
  • Coordinate and manage communications, documentation, and scheduling to ensure deadlines and expectations are consistently achieved.
  • Prepare, record, and distribute accurate minutes of meetings, especially for the OCO Conference. Steering Committee and Financial Subcommittee meetings.
  • Uphold strict confidentiality in handling sensitive documents, financial information, and staff records.
  • Maintain seamless office operations through expert knowledge of administrative practices and procedures.

Key Selection Criteria

We invite applications from candidates who can demonstrate:

  • Extensive experience (minimum 5 years) as a Personal or Executive Assistant supporting a CEO or equivalent senior leader.
  • Relevant tertiary qualifications (minimum diploma) in office administration or a related discipline.
  • Comprehensive knowledge of standard office administrative practices and procedures.
  • Outstanding communication skills in English, both written and verbal.
  • Proven ability to maintain accuracy, discretion, and confidentiality in managing classified documents, financial records, and personnel files.

* Strengthen the implementation of the current OCO Professional Standards Framework (OPSF).
* Facilitate executive and management programmes with a continued focus on women in leadership
* Develop mentoring and internship programmes and modules
* Develop front line supervision training
* Develop a train the trainer program
* Provide ethics and governance training

Strengthen organisational development for the future

* Conduct annual training needs analysis for individual Members
* Facilitate and promote the use of relevant WCO and OCO E-learning modules
* Develop a Gender Equality Plan for Customs
* Policy and Legislative skill development
* Develop a pathway to be a recognised accredited Customs training provider
* Secretariat and Member engagement at regional and international forums.
* Build and maintain a Customs Expert database

Strengthen succession planning
